Tanzania Special Pass for EAC Nationals: Prepare for a Short Assignment

A job offer or short assignment in Tanzania calls for careful preparation before travel or work begins. For nationals of East African Community partner states, the Special Pass is one category worth understanding. The practical starting point is to match your nationality, activity and supporting documents to the correct service.

Match the service to your plans

East African Community (EAC) refers to the regional community of partner states. If you are an EAC national considering a short assignment in Tanzania, identify the proposed activity clearly before selecting a pass. A passport establishes your identity and nationality; the immigration permission you need also depends on what you intend to do. Do not assume that entering the country, receiving an invitation or submitting a form settles every requirement for an assignment.

The online Pass service includes Special Pass. Check the current guidance for your nationality, purpose and circumstances before choosing it. If your purpose is to complete a pending immigration formality rather than undertake the proposed assignment, explain that difference when seeking guidance. Similar-sounding service names should not be treated as interchangeable.

Prepare documents around your purpose

Prepare an accurate description of your purpose: who has invited you, what you will do, where the activity will take place and the intended dates. Agree these details with the employer or host before filling in the application. This is practical preparation, not an exhaustive document checklist. The current requirements for the service you select determine which records must be submitted.

For example, a short visit to discuss an assignment and a visit to carry out that assignment are different plans. Record the actual activity rather than choosing a broad description because it sounds simpler. If a supporting letter and your application describe different dates or duties, resolve the inconsistency before submission.

Use that foundation to organise a clear application file:

  • Check that names and passport details match across the form, letter and supporting records.
  • Describe the actual role or assignment. A precise explanation is more useful than a vague reference to “business”.
  • Ask your employer or host to check its legal name, address and contact person before you copy those details.
  • Keep complete, readable scans and retain the originals for any requested verification.

Start through the official Pass portal

The Tanzania Immigration Pass portal lists Special Pass among its services and offers options to start or continue an application. Its initial application page asks for the pass type, email address, application centre, security question and answer. The information is used to generate an application ID.

Read the portal’s guidelines before starting, use an email account you can reliably access and save the application reference securely. Follow the requirements displayed for your selected category rather than copying a checklist intended for a different pass. The portal publishes passtanzania@immigration.go.tz for pass-system support.

Coordinate the pass with your wider work plans

Do not plan a longer stay around a short assignment alone. Separate residence-permit routes apply to investment, employment and other purposes, with work-permit and professional-registration requirements where relevant. Before commencing any work, ask your employer to confirm the appropriate immigration and labour authorisations for your specific job. Also check whether the profession requires registration with its relevant regulator.

Keep the intended work dates, travel dates and current permission’s expiry date together in one checklist. If the assignment changes, review the documentation again instead of assuming the original application still describes it accurately.

A practical example: Imagine a Kenyan technician invited to Tanzania for a brief equipment-installation assignment. The technician and host should check which immigration service fits the proposed activity and confirm any other required authorisations. If the arrangement becomes an ongoing job, they should review the longer-term residence and work route rather than assume the short-assignment plan still works.

Check the outcome, not just the submission

Keep copies of correspondence, payment instructions, receipts and the issued document. Treat an application reference as a record to follow up, not as a reason to assume approval. Once a decision arrives, check the name, category, authorised purpose and dates carefully. Raise any discrepancy promptly, and confirm the applicable fee and validity with Immigration rather than relying on an old quotation. Good preparation means choosing the right category and keeping the evidence consistent from application to approval.
